Senior Program Assistant Duties at UNHCR:
• Collects, registers and maintains information on project activities.
• Prepare status and progress reports, prepare tables and draft routine correspondence.
• Prepare background material for use in discussions and briefing sessions.
• Undertake proper collection, monitoring and use of baselines, standards and indicators needed to measure and analyses programme performance, trends and target interventions.
• Review the implementation and performance of IPs agreements through appropriate physical monitoring to evaluate the projects by reviewing work plans, progress reports, budget, financial reports and expenditures. This may include field visits for specific monitoring and evaluation issues.
• Apply UNHCR’s corporate tools (e.g. Global Focus, Focus Client, MSRP system to make financial vouchers) to assess the technical soundness of the operation and generate data for evidence-based decisions at the country-level.
• Assist in ensuring compliance in issuance of audit certificates for Implementing Partners.
Principal Secretary Responsibility Duties at UNHCR:
• Arrange appointments and maintain Supervisor’s calendar, receive high-ranking visitors, place and screen telephone calls and answer queries with discretion.
• Manage the flow of information to/from the Supervisor and other senior staff; identify priority matters that need to be urgently addressed by the Supervisor.
• Confer with senior managers in the operation and Heads of Sections to secure timely and authoritative information relevant to matters requiring action, facilitating decisions by or authorized approvals from the Supervisor. Ensure follow up to ensure that appropriate action is being taken by senior managers on tasks determined by the Supervisor.
• Prepare briefing materials for Supervisor for official trips or special meetings.
• Arrange meetings with high-ranking officials and official receptions given by the Supervisor.
Office Assistant Duties at NRC NGO:
• Receive incoming calls and direct them to appropriate staff, make outgoing calls for the staff as appropriate
• Receive and dispatch faxes, mails, documents and reports as appropriate
• Provide secretarial support such as typing, takings minutes, drafting letters, and translation of English or Arabic documents for all departments
• Requisition, receive, record, distribute and maintain adequate inventory of office and guest house supplies and consumables
• Ensure that the telephone bills, electricity and water bills are paid on time for the office, guest house and other compounds in collaboration with the finance team
• Ensure that the office stationary and supplies are order on time and the guest house supplies are order on time
• Assist in the management and usage of telephone, fax, and other communication facilities in the office and guest house
• Ensure order and cleanliness of the office and guest house compounds
• Assist and support in arrange for conferences and workshops.
• Prepare and monitor staff attendance sheet for leaves balances and salaries.
• Backing up the Admin/HR assistant and perform related duties as required.
Admin and Programs (scholarships) Duties at AMIDEAST:
• Administer the U.S. State Department-funded Youth Exchange and Study (YES) program for Yemeni youth to spend an academic year studying in a U.S. high school and living with an American host family.
• Organizing and arranging volunteer activities for the YES program candidates.
• Hotels and halls arrangements and booking for workshops, training and calibrations.
• Assist the YES candidates with their online U.S visa application.
• Coordinate with the U.S Embassy interview dates for candidates and staff.
• Coordinate with the U.S Embassy regarding the short time programs procedures to the US.
• Manage Tomorrow’s Leaders (MEPI) scholarship program.
• Manage the U.S. State Department Diana Kamal scholarship program.
• Manage the U.S. State Department Opportunity Grant scholarship program.
• Manage the Fulbright program to study in U.S the MA.
• Manage Nexen Inc.s Yemen scholarship program sponsoring study in Canada.
• Interviewing and evaluating new staff members and/or scholarships candidates.
• Manage the internship program at AMIDEAST and supervise the Lad, IT and Library areas interns.
• Translates materials from English to Arabic and vice versa;
• Writing official letters to official governmental offices and none governmental offices.
• Maintains and track billing of all local tests and scholarship programs and liaise with the Finance Program Officer to assure the accurate billings, receipts and invoices are issued;
• Assist with reception, and administrative duties, clerical and mailroom activities, including photocopying, distributing incoming mail and courier, and responding to general phone inquiries.
• Assists in getting bids for office needs as requested by immediate supervisor;
Testing and IT Duties:
• Arrange local calendar and online testing schedules.
• Reporting, marketing and helping in testing business planes.
